Chromebooks (and Google Apps for Education)
Chromebooks are laptops running Chrome OS as their operating system. The devices are designed to be used
primarily while connected to the Internet, with most applications and data residing in the cloud. This computer has
limited offline capabilities, though some applications requiring an internet connection can be used while not on a
network and will be updated with offline user input upon the next instance of Internet connectivity. While traditional
software products like Microsoft Office and the iLife suite are not available for use on a Chromebook, free apps
like Google Doc and Sheets and many more are readily available. Printing from a Chromebook is limited, and not
supported in the DOE environment currently, but will be once Google Cloud Print becomes more universally
available for the printers in our environment.
Chromebooks purchased through FAMIS are designed to be used in conjunction with Google Apps for Education
(GAFE) and are purchased with a software license for Management Console. Putting your school on GAFE
enables members of your community to use cloud-based storage and a range of communication, collaboration,
and productivity applications. At its base level, Google Apps provides a secure login infrastructure for your domain
that allows you to create and control student and teacher accounts that have access to a range of cloud-based
applications and storage that can be accessed through any modern web browser or mobile device. The
web-based management console makes it easy to deploy and control users, devices, and apps across a fleet of
Chromebooks. All schools who are new to GAFE must accept the Data Processing Amendment to use
GAFE (see step 6, below). This agreement provides the additional data protection schools need to be compliant
with the Family Educational Rights and Privacy Act. Schools who already have GAFE accounts will be covered by
the Data Processing Amendment automatically.
Before your school purchases any Chromebooks, there are a couple of prerequisites that you'll need to have:
First, you'll need to have a school domain name (for example, http://www.ps123.org). If your school
doesn't already have a domain name, you can purchase one from numerous vendors. It costs about
$12 per year. Tip: short domains are better than long ones. This is important because when you
process an order for Chromebooks, before CDW will ship them they will contact the ordering person
and ask him or her for your domain name. CDW will need this information to add the Management
Console license to your domain.
Second, you'll need to designate someone as your Google Domain Admin. The Admin will be
responsible for setting up user ID's and passwords, handling password resets, and configuring
policies and user setting for Chrome device users within your domain. You'll need to provide the DOE
email address of the individual you have designated to be the Admin for your school's GAFE account.
Please ensure that the principal of your school is granted full administrative rights, even if she
or he will not be the primary administrator. You can do this from the admin console, as described in
step 5, below.
Third, you'll need to sign up for GAFE: To sign up for GAFE, Visit the GAFE sign up page and click
Get Apps Today on the upper right corner. (The following instructions are adapted with thanks from
the New Visions Cloudlab site (see Additional Resources). If you already have Chromebooks in your
school, but no GAFE, you should still sign up and start receiving the security and benefits.
